A. JOB DESCRIPTION

Shift work: 8 hours/day (including 1 hour lunch break/day) and 6 days/week, 2 paid days-off/month
Earliest shift: 6:00 AM – 2:00 PM
Latest shift: 3:00 PM – 11:00 PM

1/ Manpower management:

– Ensure sufficient manpower during of operation and get work performance.
– Be responsible for Group Leader(s) and General Staff’s performance.
– Take part in recruitment & selection activities for Division’s staffing.
– Motivate, training and develop staff in order to encourage their professional development.
– Identify potential staff for succession planning purposes.
– Build and promote team work spirit.
– Recheck ensure a reasonable arrangement of shifts for opening, closing store, balancing.

2/ Human Resources management:

– Check and ensure recruitment of store run smoothly.
– Complete report timely.

3/ Cost and equipment management:

– Controlling the use of expenses, comparing with the same period and the previous month.
– Find the cause if there is a cost related problem.
– Find solutions to use reasonable costs.
– Keep track ​of licenses and certificates so they don’t expire.
– Timely grasp the situation of machinery damage to quickly handle and track the progress and repair history of each machine.
– Ensure safe facilities for customers and employee.
– Prepare stationary & support monthly stock take and bio-yearly stock take as the company rules.

4/ Accounting management:

– Make sure the store’s accounting department complies with the regulations on cash, vouchers, sold tape management.
– Control the collection of COD, deposit, excess money of cashiers, do not let the situation of loss happen.
– Complete report timely.

5/ Other tasks:

– Opening & closing Store.
– Be on duty and act as Store Manager when as Store Manager not present at work .
– Other tasks or responsibilities as assigned by Store Manager.

     3. Champion Continuous Improvement

  • Continuously improve the plant’s PM system 
  • Manage and organize parts inventory using Lean principles. 
  • Champion and lead change initiatives and continuous improvement efforts, including the pursuit of Total Productive Maintenance (TPM).
  • Oversee plant reliability for long-term production optimization while continuously reducing cost through improved equipment operation, maintenance and upgrades

– Support other functions in the execution of promotion schemes, customer surveys, handling customer grievances, and finding solutions to arisen difficulties in operation.

– Support other departments regarding staff allocation plans to ensure adequate staffing for smooth operation, especially in peak seasons.

5. Rules and Regulations

– Follow all working procedures, the company’s policies, rules and regulations.

– Check, monitor, remind, and guide subordinates to follow the rules and regulations.

6. Other duties

D. Special Functions for External Affairs
– Being the primary contact to receive any requests of guests visits

E. Correspondence of emergency response matters, special purpose matters

1. Job Description

*Digitalization projects management (40%)
– Understand deeply of internal work-flow and process
– Work with Supplier and related depts. to develop a detailed project plan and monitor progress

– Cooperate with other departments for proceeding new projects.

– Make list of materials using for new store opening, conduct the action plan to insure all materials are purchased and delivered on time.

* Material expense and budget control (20%)
– Review, setup and manage the yearly material budget for all stores.
– Make monthly material expense report, analyze the reason for increasing or decreasing, propose countermeasure to reduce the cost.
– Build guideline & procedure for ordering, managing materials and equipment for store operation.

Repair, maintain & improve machine, oven, tools& equipment, electric

– Document processes and maintain mechanical guideline.
– Troubleshoot mechanical malfunctions and breakdowns, as well as performing repairs.

Building safety

– Conduct HSE internal audits base on FM programs.

– Responsible for tracking all issues related safety building: firefighting systems issues, Electrical system, Gas systems….
– Follow up the firefighting safety training courses for employees, firefighting drills according to local law and customers.

Operation and Maintenance

– Contractor management who take responsibilities on Building operation and maintenance daily.
– Supervise Contractor/ Supplier perform maintenance and replacement and repairing activities

– Provide prompt response to requests and issues from facility occupants
– Conduct follow up and monitoring on maintenance program including: yearly maintenance plan, LCC and History Repair

– Perform evaluation Contractor yearly.

TRÁCH NHIỆM CHÍNH

Nhiệm vụ chính:

  • Hỗ trợ xử lý công việc quản lý công việc phát sinh tại nhà máy Kowa – KCN Thăng long Vĩnh Phúc
  • Phụ trách công tác giao nhận hàng hóa và tham gia công tác kiểm kho.
  • Phụ trách quy trình thanh toán và chứng từ trên hệ thống cho Trung tâm chế biến thực phẩm

Các hoạt động chính:

  • Mua hàng và soạn thảo hợp đồng với các nhà cung cấp dịch vụ nếu có, kiểm tra các chứng từ liên quan và tiến hành thanh toán trên hệ thống.
  • Liên hệ với ban quản lý nhà máy về bãi đậu xe cho nhân viên, thanh toán tiền điện, dịch vụ thu gom rác, quy định vệ sinh
  • Vai trò MMD nhận hàng, kiểm tra tình trạng giao dịch trên hệ thống, đảm bảo hàng được thanh toán đúng tiến độ.
  • Chuẩn bị và tham gia hoạt động xuất/ nhập kho với vai trò giao nhận hàng (MMD) theo quy trình xuất/nhập kho, kiểm tra kết quả.
  •  Công việc hành chính chung như: đón tiếp bộ phận giám định, tạo điều kiện cho cuộc họp hoặc bổ sung các dịch vụ cần thiết để trung tâm ​​hoạt động thông suốt
  • Làm việc với  văn phòng chính (HQ) về buổi đào tạo của team hoặc giải quyết các vấn đề phát sinh nếu có.

Vai trò và trách nhiệm:

1. Quản lý admin:

  • Thu thập và kiểm tra tài liệu liên quan đến các tài sản và chi phí chung của trung tâm
  •  Chuẩn bị hợp đồng với các nhà cung cấp dịch vụ, tiến hành và theo dõi quy trình thanh toán trên e-doc.
  •  Dự trù ngân sách quản trị hàng năm cho nhóm dự án. Xác minh mức sử dụng thực tế và báo cáo quản lý nếu chi phí vượt quá ngân sách.
  • Cùng bộ phận HQ giải quyết các vấn đề để đảm bảo trung tâm sản xuất hoạt động thông suốt.
  • Hợp tác với bộ phận đào tạo và bộ phận hỗ trợ OP trong việc tổ chức đào tạo nhân viên
  • Công việc hành chính khác như: đón đoàn kiểm tra & các công việc hành chính văn phòng.

2. Nhiệm vụ giao nhận hàng (MMD)

  • Nhận vật tư sản xuất, hàng hóa.
  • Đảm bảo hàng hóa được kiểm tra theo tiêu chuẩn của công tyAVN, cập nhật hệ thống theo chức năng công việc của MMD
  • Tham gia hoạt động nhập kho với vai trò là MMD theo “Quy trình nhập kho”. Kiểm tra kết quả nhập kho hàng tháng, báo cáo nếu có dữ liệu bất thường.
  • Cập nhật, kiểm tra trạng thái giao dịch trên hệ thống lợi nhuận (GTN, GRN…), đảm bảo chúng được thanh toán đúng tiến độ
  • Giám sát hoạt động của nhà cung cấp, cảnh báo cho bộ phận MD và quản lý nếu có bất kỳ hoạt đông bất thường

3. Nội quy, Quy định và các nhiệm vụ khác

  • Tuân thủ mọi quy trình làm việc, chính sách, nội quy và quy định của công ty.
  • Các nhiệm vụ hoặc trách nhiệm khác theo sự phân công của Leader hoặc Manager.

  • Tốt nghiệp trung học phổ thông trở lên

  • Primary Objective:
    An Facility Officer is responsible for conducting quality assessments, scheduling repairs, and developing preventative maintenance procedures to facilitate effective operations GMS machine and shopping Mall.

  • Roles and responsibilities:
    Facility management:
    – Manage laptop of HQ employees:
    – Daily check meeting/ conference room, tools to ensure that all are working properly and repair where faulty.

    Others
    – In charge of managing office’s projectors and equipment to ensure they are in good conditions and available to users.
