A. JOB DESCRIPTION

Shift work: 8 hours/day (including 1 hour lunch break/day) and 6 days/week, 2 paid days-off/month
Earliest shift: 6:00 AM – 2:00 PM
Latest shift: 3:00 PM – 11:00 PM

1/ Manpower management:

– Ensure sufficient manpower during of operation and get work performance.
– Be responsible for Group Leader(s) and General Staff’s performance.
– Take part in recruitment & selection activities for Division’s staffing.
– Motivate, training and develop staff in order to encourage their professional development.
– Identify potential staff for succession planning purposes.
– Build and promote team work spirit.
– Recheck ensure a reasonable arrangement of shifts for opening, closing store, balancing.

2/ Human Resources management:

– Check and ensure recruitment of store run smoothly.
– Complete report timely.

3/ Cost and equipment management:

– Controlling the use of expenses, comparing with the same period and the previous month.
– Find the cause if there is a cost related problem.

– Complete report timely.

5/ Other tasks:

– Opening & closing Store.
– Be on duty and act as Store Manager when as Store Manager not present at work .
– Other tasks or responsibilities as assigned by Store Manager.

Operations management:

– Supervise Group Leader(s) and General Staff to ensure:
• Merchandise is fully replenished, in good conditions & quality.
• All the display merchandise is according to schematic plan and all the price between display merchandise and price card is tally.
• Changing price label (if neccessary) is completed before store opens.
– Verify and approve inventory orders raised by Group Leader(s).
– Understand clearly the work of the department to control loss through PAZero.
– Plan manpower, prepare and attend bi-annually Stock Take as scheduled.
– Plan, assign duties for Group Leader(s) and General Staff to make necessary preparation for Membership Day and Public Holidays.
• Operational equipment, lighting and fixtures (gondola, wagon, shelves, etc.) are in good conditions
• Selling floor is kept clean & tidy
• All backrooms are locked in good conditions
• POP execution is carried out properly
• Fire safety procedure is carried out properly
– Maintain 5S as the company rules
– Check and verify variances in stock & sales figures after Stock Take and make report to Line Manager.

Sale and profit:

– Daily briefing Group Leader(s) on yesterday sales achievement, today sales budget, up-to-date sales achievement, promotion and company updates.
– Breakdown the sales target given by Line/ Store Manager to each GL(s) and take responsibilities for sales target achievement of the division.
– Overall plan and supervise the execution of promotion schemes.
– Observe/gather information/suggestion from Group Leader(s) about sales trend, customer demands and advise Merchandising Dept. for any changes/ improvement in merchandise assortment, quality and quantity.
– Gather and consolidate all periodical reports from Group Leader(s) about top sales, promotion sales results, market survey/ competitor survey and submit to Line Manager.

Manpower management:

– Plan Monthly duty roster and manpower schedule.
– Ensure sufficient manpower during business in ad-hoc situations.
– Monitor Group Leader(s), General Staff and Promoter’s attendance and attire.
– Approve duty roster, shift plan raised by Supervisor(s).
– Be responsible for Supervisor(s) and General Staff’s performance.

– Find solutions to use reasonable costs.
– Keep track ​of licenses and certificates so they don’t expire.

I. MAIN RESPONSIBILITIES:

1. Customer Services activities:
– Issue CS management standard of AEON Vietnam be applied properly by CS staff
– Monitor money, promotional goods, promotion gift to make sure they are used properly and for right purposes.
– Brief all subordinates about promotion schemes to ensure clear understanding and proper execution.
– Oversee the resolution of any arising issues regarding locker, VAT invoices and customer point scheme.
– Daily monitor and ensure all working tools and equipment of the section are adequate and in good conditions.
– Resolve customers’ complaints and follow up until the case is close
– Monitor all kinds of CS section’s reports.
– Identified & timely report to SM about cashier complain case
 
2. Cashier activities:
– Be aware of current sales promotions and make sure the information is briefed to Cashier staff in daily briefing session by Cashier Group Leaders.
– Frequently check, identify issues and coordinate with Merchandising Dept. and other Store Operation Depts to ensure that merchandise is correctly priced and displayed in adequate quantity and good quality.
– Maintain all Point of Sale (POS) machines, tools and equipment in good working condition.
– Responsible for collecting contents of cash registers at the end of each day and delivering funds to Store Accounting Dept. if working at night shift.
– Investigate and correct errors made at the cash registers in a timely manner; report errors to Cashier Manager.
– Assist subordinates in difficult/complicated cases at Cashier counters.
 
3. Support Online Sales & management:
– To manage group to handle online orders in daily basis to complete all orders in time with effective quality of work
– To ensure all customers’ inquiries from various touch points (hotline, email, fanpage comment & message) are handled on time with appropriate manner.
– Mannage operation flow well for all team, include Picker, Delivery staff, …
– Follow key performance indicators (Sales revenue, number of Orders, % cancellation before & after handover to delivery).
– Follow up and take actions to achive target sale.

(a.) Merchandise management

A. Job Description:

(1) Primary Objective:

Perform daily administrative tasks for Store’s smooth HR operations in term of recruitment, HR management & Reports, SAP system, discipling, employee relation and performance management, Rules and Regulations

(2) Roles and responsibilities:

1. Recruitment activity:

Develop and Execute Recruiting Process and Plans
– Ensure all vacancies are filled with the suitable candidates within the targeted time.
– Act as a member of recruitment interview panel.
– Obtain and assess reference checks of the candidates.
– Maintain recruitment database of qualified or potential candidates for current and future needs.
– Be responsible for press advertisement placement and able to recommend innovative and creative design in order to get best results.
– Develop and improve the recruitment processes to be more innovative and cost effective.
– Advise hiring managers on recruitment matters.
– Control recruitment expenses within the budget.
– Conduct exit interview and analyse the reasons of resignation.
– Plan, prepare and hold job fair to attract candidates.
– Participate in Branding activities.
Coordinate and Implement University/College/Vocational School for Recruiting Initiatives
– Coordinate with universities, events in relation to targeted hires.
– Running Management Trainee program to attract the most potential candidates.

2. HR management & Reports

– Supervise and follow up subordinate’s tasks daily to ensure HR store’s work run smoothly
– Identify and reduce unnecessary tasks to increase staff productivity.
– Regularly train and motivate subordinates in daily works.
– Identify potential staff for succession planning purposes.
– Build and promote teamwork spirit.
– Edit SAP’s errors regarding shift plan for grade 3 up (i.e. time event, shift, night shift, annual leave, etc.). In charge of process on SAP for grade 3 up such as: Hiring, cessation, transfer, longtime absence, resume work,….
– Manage all information of employees, make sure employees’ data correctly.
– Check information and provide report when necessary.
– Be in charge of headcount and turnover rate report
– Employees weekly report
– Support Store Manager for increasing productivity at Store (working hour, balance request to hire, etc.)

3. Employee Relation & Performance

– Manage, co-oporate, support discipling process
– Organizing Briefing Session on Performance Management Process in preparation for 03 phases: setting Goals, mid-year review, year-end review
– Provide ongoing support and explanation to employees on Performance Management process and follow-up to ensure effective and timely implementation of the process.
– Participate in the implementation of on-going improvement plan for whole process; standardize all kinds of forms and correspondence relating to the process.
– Timely identify issues and propose remedies to ensure whole process is implemented properly and efficiently.
– Support all gather performance evaluation document & analyses its result
– Co-ordinate with Trade Union to propose benefit & organize event, activity for employee engagement
– Planning & organize Company event (Best Employee, Best Practice, Long Service…)
– Support Employee Engagement survey & co-ordinate with other Department for action plan

B. Job Requirement:

  • University/ College degree
  • Minimum 04 year of related experience in HR, 2-3 years of talent acquisition and direct recruiting experience.
  • 01 year at supervisor role is a plus.
  • Excellent knowledge of sourcing and recruitment techniques including social media.
  • Good knowledge of HR related regulations and laws of Vietnam.
  • Computer literate (Word, Excel, Power point).
  • Good communication and problem solving skill and leader skill
  • Strong verbal and creative written communication skills
  • Self-disciplined with ability to work independently.
  • Good command of English (verbal and written) is a plus.

I. MÔ TẢ CÔNG VIỆC
1. Nhiệm vụ ngành hàng:
a. Quản lý hàng hóa:
– Giám sát Trưởng nhóm & nhân viên để đảm bảo:
• Hàng hóa được bổ sung đầy đủ, trong điều kiện tốt và chất lượng.
• Tất cả hàng hóa trưng bày theo kế hoạch hoặc hướng dẫn từ Quản lý cấp trên/ Thu mua và tất cả giá giữa hàng hóa trưng bày và thẻ giá đều được kiểm tra.
• Kiểm tra giá trên POS/ SST và thay đổi nhãn giá (nếu cần) được hoàn tất trước khi siêu thị mở cửa.
– Đặt hàng với Nhà cung cấp và nhận hàng từ bộ phận Giao nhận hàng hóa .
– Quản lý lượng hàng tồn kho và đặt hàng lại khi hết hàng tồn kho. Đổi trả hàng bị hư hỏng.
– Tham gia kiểm kê định kỳ hàng tháng theo chỉ đạo của Quản lý cấp trên.
– Tham dự kiểm kê định kì hai năm một lần theo lịch trình.

– Lập kế hoạch, phân công nhiệm vụ cho Trưởng nhóm và nhân viên để chuẩn bị cho các ngày hội thành viên, lễ tết.

b. Quản lý các hoạt động khác:
– Giám sát Trưởng nhóm & nhân viên để đảm bảo:
• Thiết bị vận hành, ánh sáng và đồ đạc (gondola, xe đẩy, giá, v.v.) ở trong tình trạng tốt.
• Sàn bán hàng được giữ sạch sẽ và gọn gàng.
• Quy trình an toàn cháy nổ được thực hiện đúng cách.
– Đặt POP (bảng giá), thực hiện trưng bày POP, kiểm tra POP để đảm bảo thông tin chính xác và đầy đủ.
– Hỗ trợ hoạt động đóng/ mở cửa siêu thị.
– Kiểm tra và xác minh sự khác biệt trong số liệu tồn kho & doanh số sau khi kiểm kê và báo cáo cho Quản lý cấp trên.

c. Dịch vụ khách hàng:
– Cung cấp các dịch vụ khách hàng tốt để khuyến khích tăng doanh số. Lịch sự và lắng nghe nhu cầu của khách hàng.
– Thông tin và giới thiệu cho khách hàng về hàng mới, chương trình khuyến mãi, chính sách thanh toán, đổi trả hàng, v.v.
– Xử lý các khiếu nại của khách hàng hoặc các khiếu nại, tình huống phức tạp do Trưởng nhóm, Nhân viên đưa ra.
– Tuân thủ các Quy tắc của Công ty về Dịch vụ Khách hàng (chào hỏi, mỉm cười, cúi chào và thái độ với khách hàng).

2. Bán hàng và lợi nhuận:

– Họp hàng ngày với Trưởng nhóm về tình trạng vận hành, bán hàng của ngày hôm trước, mục tiêu doanh số hiện tại, các chương trình khuyến mại và thông tin cập nhật của công ty. 

– Phối hợp với Nhà cung cấp thực hiện các chương trình khuyến mại.

– Phân bổ chỉ tiêu doanh số cần đạt đến Trưởng nhóm và Nhân viên và chịu trách nhiệm về doanh số của toàn quầy.

– Lập kế hoạch bán hàng và giám sát việc thực hiện các chương trình bán hàng.
– Xác định các mặt hàng bán chậm và chất lượng không tốt. Ước tính nhu cầu của khách hàng và tham mưu với bộ phận thu mua.
– Lưu trữ hồ sơ các đơn mua hàng, bán hàng. Báo cáo định kỳ về doanh số bán chạy, kết quả bán hàng khuyến mãi, khảo sát thị trường/ khảo sát đối thủ cạnh tranh.
– Quan sát, thu thập thông tin, đề xuất từ Trưởng nhóm về xu hướng bán hàng, nhu cầu khách hàng và trao đổi với Thu mua để đề xuất sự thay đổi/ cải thiện về hàng hóa, số lượng, chất lượng.
– Hỗ trợ thu ngân đổi trả hàng theo yêu cầu.

3. Quản lý nhân lực:

– Lập kế hoạch và lập bảng phân công công việc, lịch làm việc và phân công cấp dưới trực tiếp.
– Đảm bảo đủ nhân lực trong quá trình kinh doanh trong các tình huống đột xuất.
– Chịu trách nhiệm về kết quả hoạt động của nhân viên.
– Xác định và giảm bớt những công việc không cần thiết để tăng năng suất của nhân viên.
– Thường xuyên đào tạo, động viên cấp dưới trong công việc hàng ngày.
– Xác định đội ngũ nhân viên tiềm năng cho mục đích lập kế hoạch người kế nhiệm.
– Xây dựng và phát huy tinh thần làm việc nhóm.

4. Nội quy và Quy định:

– Tuân thủ tất cả các quy trình làm việc, các chính sách, nội quy và quy định của công ty.
– Kiểm tra, theo dõi, nhắc nhở, hướng dẫn nhân viên và nhân viên tiếp thị thực hiện các nội quy, quy chế.

5. Các nhiệm vụ khác:

– Phụ trách đóng tầng khi hết giờ mở cửa.
– Hỗ trợ các bộ phận khác khi cần thiết.
– Các nhiệm vụ hoặc trách nhiệm khác theo sự phân công của Quản lý trực tiếp, Quản lý bộ phận và Giám đốc siêu thị.

II. YÊU CẦU CÔNG VIỆC

– Tốt nghiệp Cao đẳng trở lên
– Có kinh nghiệm quản lí trong ngành bán lẻ ít nhất 3 năm, đặc biệt liên quan đến ngành hàng thực phẩm (ưu tiên thực phẩm tươi sống)
– Có thể làm việc theo ca (8h/ ngày, 6 ngày/ tuần), có thể đi làm ngày Lễ, Tết
– Kỹ năng phân tích tốt, có tư duy về dịch vụ khách hàng, có kỹ năng tin học văn phòng
– Khả năng làm việc nhóm, quản lý đội nhóm và chịu được áp lực công việc cao, có kỹ năng giải quyết vấn đề và bán hàng tốt.

– Có kỹ năng Tiếng Anh là lợi thế.
