TRÁCH NHIỆM CHÍNH

Nhiệm vụ chính:

  • Quản lý tiền mặt theo quy định của công ty.
  • Đảm bảo báo cáo kế toán được hoàn thành đúng thời hạn.
  • Quản lý trang thiết bị, máy móc để cửa hàng duy trì hoạt động hiệu quả

Vai trò và trách nhiệm:

1, Quản lý chi phí và thiết bị:

– Quản lýcơ sở vật chất, , trang thiết bị, máy móc, tài sản cố định của cửa hàng.

– Kiểm soát ngân sách theo yêu cầu nội bộ của cửa hàng. Tìm nguyên nhân nếu có vấn đề liên quan đến chi phí. Sử dụng chi phí hợp lý.

– Đặt hàng và cung cấp vật liệu, trang thiết bị cho cửa hàng.

– Đảm bảo điều kiện cơ sở vật chất an toàn cho khách hàng và nhân viên.

– Xử lý tất cả các vấn đề liên quan đến vệ sinh, an ninh, bảo trì, dịch vụ…

– Lập báo cáo về cơ sở vật chất và chi phí.

2, Quản lý tiền mặt

– Quản lý tiền mặt, băng dính niêm phong bán hàng, phiếu giảm giá.

– Kiểm tra doanh số bán hàng, hóa đơn, tiền thiếu, chứng từ thanh toán.

– Lập báo cáo kế toán.

3, Quy định và quy chế:

– Tuân thủ quy trình của tất cả các phòng ban liên quan đến việc quản lý hàng hóa.

– Tuân thủ các quy trình, quy định về an toàn, sức khỏe, chính sách và quy chế công ty.

4, Các nhiệm vụ khác do Người giám sát/ Lãnh đạo/ Quản lý cửa hàng giao.

1. Responsibilities
Document management:
*. Control company’s processes:
– Collect & manage procedures of all departments systematically for company
– Coordinate with related department to check the standardization for all procedure
– Support for posting on internal system and announce officially
– Follow up & collect revise versions of all procedures yearly.
– Mail and cargos process (delivery, receiving, payment, controlling this cost for the whole company)
*. Manage incoming/outgoing letter/ document:
– In charge of classifying and giving the outgoing letter number for departments
– Managing all outgoing letters on Web portal as regulation of company
– In charge of all incoming letters for company systematically
– Control the list of documents coming from Government of all stores
– Arranging, classifying all incoming letters and distributing to related departments.
– In charge of all issues related to e-office system
*. Document manage:
– Assist in studying, researching & collecting all issues related to document of all department
– Assist in making regulations for issues relating to document storage.
– In charge of look for, collect information related to document for total company
– In charge of receiving handover document related new store opening from Constructor
– In charge of classifying, studying & arranging these document
– In charge of notarizing document if required
– Support for License & document recordkeeping
Booking hotel & air ticket:
– In charge of booking air ticket and hotel and other issues related business trip: insurance for travel, wifi/sim rental, car rental…

2. Qualifications & job requirements
– University degree – Record and Archives Department
– Experience in document management
– Good command of spoken and written English

[HCMC] LEGAL ADMIN OFFICER (6-MONTH)

Key responsibilities:

As Legal Admin Officer, main duties shall be assigned by supervisor including Legal Deputy Manager base on Legal Dept.’s workload and project. A Legal Admin Officer is responsible for all admin tasks and other tasks within the Legal Department with basic legal knowledge and ensuring compliance with the law regulation and Company internal regulation.

 

  1. Seal keeping:
  • Keep the Company’s seals in an appropriate place.
  • Check all documents which need to be sealed to ensure full compliance with the Company’s authorization system, internal regulations and the law regulation (if any);
  • Give guidence and advice to requestors regarding the seal management, document approval procedure and relevant tasks.

 

  1. Authorization System:
  • Manage the Authorization Letters in a systematic way.
  • Give guidence and advice to requester regarding the Authorization System of the Company
  • Prepare & draft Authorization Letters to ensure compliance with the SOP of Authorization system.

 

  1. Contract and external document review
  • Review contracts/legal documents based on the regulation of law and the Company’s internal policies to limit risk and protect the Company’s benefit and balance business demand and legal risks.
  • Give advice/consultancy relating to contracts and external documents.
  • Monitor, update contract form on the e-Doc system.

 

  1. Other administration works:
  • Support for MC and BMC Coordinator’s tasks
  • Perform other Admin tasks, such as: ordering office stationery for Legal Department; collecting and send Target plan of Legal Affairs every month; support Legal members to handle issues arising from actual plan, etc.

 

  1. Others: As assigned by Legal Deputy Manager and/or Legal Manager from time to time.

A. Job Description:

(1) Primary Objective:

Perform daily administrative tasks for Store’s smooth HR operations in term of training, Performance Management & Reports

(2) Roles and responsibilities:

1. Performance activity

  • Organizing Briefing Session on Performance Management Process in preparation for 03 phases: Setting Goals, mid-year review, year-end review for all employees at GMS
  • Provide ongoing support and explanation to employees on Performance Management process and follow-up to ensure effective and timely implementation of the process.
  • Timely identify issues and propose remedies to ensure whole process is implemented properly and efficiently.
  • Support all gather performance evaluation document & analyses its result

2. Employee Relation & Employee Engagement 

  • Work with Admin Dept. organizing Company events (Best Employee, Best Practice, Long Service, Teambuilding, …).
  • Process Employee Engagement survey.
  • Propose benefits & organize events and activities to connect employees
  • Communication from information, policies, decisions from PM HQ
  • Identify potential staff for succession planning purposes.

3. Rules and Regulations & training activities

  • Participate in disciplinary action and report
  • Follow all working procedures, the company’s policies, rules and regulations.
  • Check, monitor, remind and guide employees to follow the discipline rules and regulations.
  • Train new staff orientation program
  • Train MBO content/ SAP SF for Store employees
  • Prepare logistics for training (book room & projector, send invitation, check attendance, make training report etc.) & conduct training.
  • Train promoters on Store rules.
  • Receive training request from Line Manager(s) and work with them to develop materials for training.

4. Other duties

  • Provide report when necessary
  • Recruitment activities assigned by Division Leader
  • Support other departments as necessary.
  • Other tasks or responsibilities as assigned by Division Leader, HR Manager, Store Manager

B. Job Requirement:

  • Bachelors’ University degree in Human Resources or business-related field.
  • 1-3 year related experience in HR
  • Computer literate (Word, Excel, Power point).
  • Good communication and problem solving skill.
  • Good command of English (verbal and written) is a plus.
  • Customer focused.
  • Self-disciplined with ability to work independently.
  • Have ability to relocate to other Stores as per Company’s assignment is a plus.

Job Description:

  • Check and define law’s regulations relating to leasing contract together with the practical experience in dealing leasing contract to finalize and deal contracts with Landlords
  • Check legal dossiers of building and leased location to define whether these buildings/ locations are suitable with law regulations for leasing as well as for applying license for retaill of FDI
  • Proactively prepare the dossiers for applying retail license of FDI as well as prepare the other license dossiers such as IRC, Business Location Registration Certificate, Branch Operation Registration Certificate, Business Licence, and Enterprise Registration Certificate
  • Work closely with Department/Persons in charge of Company’s projects especially small scale projects’ opening to collect, check and analyze legal dossiers
  • Develop, work and maintain professional relationships with state and local regulatory agencies from Ministry to People Commitee and Department
  • Support supervisor to check, analyze, and evaluate projects relating to land or project transfer/ asset buying/ BCC scheme etc and propose the best scheme for each project
  • Support supervisor to follow up the projects’s legal progress to make sure of its legalistic and practical aspect by flexible and logical skill in examining and consulting
  • Draft and review In-principle Agreement, Project Transfer Agreement, and Escrow Agreement etc. relating to projects in charge
  • Closely coordinate with law firm for licenses outsourced, if any, to grasp its progress and report promtly any issue happened to supervisor.

  • University degree of Laws
  • Minimum 07 years of practical experience in professional Legal environment relating to real estate, project transfer and license for FDI Company (e.g: IRC, Business License, ROL etc.)
  • Basic in English

Job Purpose & Scope of the role:

Development Officer (Research and Planning) is responsible for assistance work of development which is instructed by Deputy Manager and Manager.
